Booking
Canterly's booking system handles the full lifecycle of a booking — from client request through horse assignment, confirmation, and attendance.
How bookings work
- Client requests a booking — via the client portal or entered manually by staff
- Horse assignment — Canterly automatically assigns a suitable horse based on availability, rider level, and horse suitability
- Confirmation — the client receives a confirmation notification
- Reminder — automated reminders are sent before the booking
- Attendance — staff mark attendance after the session
Smart horse assignment
When a booking is created, Canterly evaluates available horses and selects the most appropriate match based on:
- Horse availability (not booked, not resting)
- Rider experience level vs horse training level
- Any explicit client-horse preferences
- Lease or ownership links (if the client has a leased horse, it's prioritised)
Staff can override the automatic assignment at any time.
Managing bookings
From the Bookings section you can:
- View all upcoming and past bookings
- Filter by date, horse, client, or service type
- Create manual bookings on behalf of clients
- Edit or cancel bookings
- Mark attendance
Cancellations
Bookings can be cancelled by staff from the booking detail view. Cancellation policies (credits, fees) are configurable per product.
Booking notifications
Canterly sends automated emails for:
- Booking confirmation
- Booking reminders (configurable lead time)
- Cancellation notices
Email delivery uses your workspace's configured sender domain.
